Short Term Rental Agreement

Minimum Age Requirement: You must be 21 years or older to reserve these properties. Property named Black Bear Chalet you must be 25 years or older to reserve. Identification will be required. Pets are not allowed unless otherwise stated in the property listing.

This Short-Term Rental Agreement (the ‘Agreement’) is made by and between Northeast Georgia Vacation Rentals (Property Manager) and guest(s) or as listed and accepted on booking platforms. For good and valuable consideration, the sufficiency of which is acknowledged, the parties hereby agree as follows:

PAYMENT: If your reservation is greater than 30 days, we will break your payment into 2. First payment is due at time of booking and the second payment is due two weeks prior to coming in. (You can always pay in full)

TERM: The lease term is outlined and agreed to as follows. Please- no early check in or late check out. The cleaners have a narrow window to come in and do their job. If you overstay your check out time and the cleaners must wait for your departure you will be charged for a half day stay. Should you choose to not vacate on the date specified on booking platforms, contracts or listing sites you will be charged double the daily rate per day and court proceedings will begin immediately to remove you from the property. All expenses incurred during this process will be paid by guest(s). If you’re staying at a property that is not a pet friendly cabin, and you choose to bring your pet you will be charged an additional $150.00 unauthorized pet fee, asked to vacate immediately and will not receive a refund.

REANTAL AGREEMENT: Once your file is complete and payment in full is made, we will email you specific travel directions and the lock box code to access the home. Note: If you reserve through a listing site, you are agreeing to the lease terms when you make the payment. Also, the listing site will send you all the information to access the property and directions

ACCOMMODATIONS: The home will sleep only the amount of people listed when booking the property. No more.

DIRECTIONS & ACCESS CODE: All guests will receive emailed instructions (or the link to access our Digital Guidebook, if applicable), for access and specific directions to the property once final payment is received. We ask that you prioritize printing them out or screen shot them and know where you are going and how you will get in before you leave your home. GPS is not reliable in the rural communities.

GUEST RESPONSIBILITY: Our goal is to provide you with a clean, well-equipped home with all components and equipment functioning properly. Just as our personal home, anything can happen at any time, without warning. We ask that before you begin to unpack and settle in, you take a quick look around and notify us immediately of any issues that you see may need attention. Northeast Georgia Vacation Rentals is available 7 days a week to address any situation. Being proactive allows us to address any issues and make your stay as pleasurable as possible. No refunds will be issued unless: we are notified during your stay., cannot resolve the problem, cannot relocate you to another property and/or the issue makes the home uninhabitable.


QUIET HOURS: Neighbors are closer than you may think, and sounds seem to travel faster in the wooded areas. Please respect the quiet hours of 11 pm to 8 am.

ACCESS: Guests shall allow Property Managers or employees of Property Manager access to the property for purposes of repairs and inspection. Property Managers shall exercise this right of access in a reasonable manner. Scheduled maintenance will be performed when the home is not rented, except for lawn maintenance.

HOUSEKEEPING:  There is no daily housekeeping service. While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. We suggest you bring beach towels for use at the local lakes and the Chattahoochee River. We do not permit towels or linens to be taken from the home. If you are staying longer than 7 days and your accommodation does not have a washer and dryer, our cleaning service can do a mid-stay touch up. This will include clean linens, clean towels, replenish any soaps, touch-up the bathroom and kitchen. The mid-stay touch up is an additional $75 added to your stay.


LINENS & PAPER PRODUCTS: When you arrive, the home will be clean and set up with linens. As a curtesy we have included the following list of supplies to accommodate the appropriate number of guests: bath towels, hand towels, wash clothes, paper towels, toilet paper. Paper products are a startup supply only, and you may need to purchase additional depending on your length of stay. Dish soap and hand soap are also provided. Please feel free to use what you like and leave the remainder for the next guest. A replacement fee for any linen lost due to being misplaced, soiled beyond repair or damaged, will be charged to the guest(s) account. Linens are not covered by insurance, damage protection fee, or travel insurance. Any damage to linens will be charged to the lead guest on the reservation.

HOT TUB: No children under the age of 12 should be in water over their body temperature. Anyone under 18 must have adult supervision. When using the hot tub, remember there is a certain health risk associated with this facility. Use at your own risk. Our Spa Company will drain, sanitize, refill and replenish chemicals in all tubs prior to your arrival; therefore, the water may not be warm until later that evening. DO NOT STAND ON THE HOT TUB COVERS. Hot tub covers are for insulation purposes only and are not designed to support a person or persons. Added wight will break the cover resulting in a charge to the guest for a new replacement cover (approximately $1000.00). Remember, when not using the hot tub, leave the cover on so the hot tub will stay warm. Temperature should never be greater than 103 degrees. The hot tub is in working order during cleaning. If, for some reason, it goes out during your stay, we will make every attempt to repair and make it usable. If this is not possible, there will be no compensation paid for hot tub failure.

WI-FI: This home has free Wi-Fi as an amenity. However, being a public utility, we cannot guarantee connectivity. No refunds will be issued for lack of service. We will make every effort to make sure service is restored during you stay. We will also keep you informed of the progress.

FIREPLACE: Some of our locations have a wood burning fireplace. Firewood is not provided but can be purchased at various retailer in the areas. It is sold in bundles and is easy to transport. Other properties may have a gas fireplace. At no point should you be touching any buttons on the inside of the fireplace (unless told to). Most all have a timer on the outside wall which is made to turn on and off the fireplace. If you touch the buttons on the inside and we have to have maintenance, come out to fix it, there will be a service fee of $35 added to your stay.

FIRE PIT: Some cabins are equipped with a fire pit for your enjoyment. Use at your own risk. Never leave children unattended at the fire pit. Firewood is not provided but can be purchased at several local retailers. Never leave an active fire in the fire pit while not being present.

SMOKING: Smoking is not allowed in the cabins. Smoking is only permitted on the deck areas. We have provided a receptacle for cigarette butts and ask that they not be thrown out into the yard. Upon leaving the property, please remove cigarette butts and place in your trash bag to be taken to the outside trash can.

SEPTIC SYSTEM: Please remember that anything that goes down the drain goes right into the ground and is absorbed by the environment. DO NOT USE LIQUID PLUMBER OR THESE TYPES OF PRODUCTS. DO NOT flush anything other than toilet paper. DO NOT FLUSH ANY FEMININE PRODUCTSAT ANY TIME.

PEST CONTROL: The property is treated every 3 months. You are choosing to travel to the beautiful North Georgia Mountains. Many properties are in remote, wooded areas which provide privacy and scenic views. There will be no refunds or rate reductions due to any natural elements relating to being in the North Georgia mountains including the following: mosquitoes, biting gnats, lady bugs, scorpions, spiders, flies, moths, palmetto bugs, general flying insects, chiggers, lizards, racoons, deer, snakes, bears and any other animal or insect that calls the North Georgia Mountains home. Caution should be taken when hiking. NEGVR recommends guest(s) to bring mosquito/bug repellent. Do not leave food & consumables unattended overnight or food in garbage containers outside. This will attract bears and other wildlife. If guest(s) have an issue with pests or wildlife at the property, please contact the NEGVR office. Management will do its best to try and remedy the situation, however guest(s) understand that any pests and wildlife are certainly beyond the control of the Owner or NEGVR. Please do not feed bears or any other wildlife you may encounter.

MILITARY DISCOUNT REQUIREMENTS: A rental rate reduction of 10% is proudly given to all active and reserve U.S. Military Personnel, Honorably Discharged Veterans and Spouses Of Active-Duty personnel who are registering a guest. *To qualify you must furnish a copy of your Military ID (if active, reservist, or spouse) or DD-214 (if a veteran). Spouses of active Militarty personnel must provide their military spouse ID. Dependents are not eligible. Discount cannot be made after reservations have been made. Offer is subject to change and cannot be combined with any other promotions. Military personnel, Veterans, or Spouses traveling with the registering party do not qualify. Other restrictions may apply. Thank you for your service.

ADDITONAL TERMS: You must meet the minimum age requirement for the property. Renters who exceed the occupancy limit and falsify occupancy information at the time of reservation are subject to eviction. House parties and illegal substances are strictly prohibited and grounds for immediate eviction. Any exceptions to the rules and regulations as written here, must be approved in writing in advance. Rates, terms, and conditions are subject to change without notice.

WEATHER: No refunds will be given for storms if we can guarantee you clear and safe passage up the driveway. Mountain roads can be curvy and steep. Some of our locations are located up a steep drive. If this is concerning you, ask about the driveway to your rental before booking. Caution should be used during any potential ice or snowstorms.

HOLD HARMLESS AND LIABILITY AGREEMENT: Guest(s) agree to indemnify and hold harmless Northeast Georgia Vacation Rentals, its owners, employees, and contractors for any liabilities, theft damage, cost or expense whatsoever arising from or related to any claim or litigation which may arise out of or in connection with Guest(s) use and occupancy of the rental property including but not limited to any claim or liability for personal injury or damage or theft of property which is made, incurred, or sustained by Guest(s).  A material breach of this Agreement by Guest(s), which, in the sole determination of the Agent, results in damage to the Premises, personal injury to Guest(s) or others, a breach of the peace, a nuisance to others, or a violation of criminal law or local code, shall be grounds for termination of Guest(s).  Violation of any of the rules contained herein will result in IMMEDIATE EVICTION and forfeiture of rent and/or security deposit.

Force Majeure.  There may be circumstances beyond our control and contemplations, in which the property might not be available for your booking.  Examples of these include (but are not limited to) destruction of or sever damage to the property.  In the event of Force Majeure, we will do our best to make alternative arrangements for you where possible.  If we cannot, or if the alternative arrangements are not acceptable to you, then we will refund all monies paid.  This will be the full extent of our liability to you in such circumstances, and we will not be responsible for any other costs connected with any such cancellation, howsoever arising.


ITEMS LEFT BEHIND: We will not be liable or responsible for personal items left behind, lost, or stolen. Fee for shipping forgotten items back to you is $25 plus shipping fees and shipping materials.

TRAVEL INSURANCE: We encourage all renters to purchase traveler’s insurance. We have a strict cancellation policy. Whether you are or are not anticipating any issues to arise, this coverage is very affordable and may reimburse you for rental payments that you will not receive a refund for. This only covers emergencies or extenuating circumstances. Plese make yourself aware of the restrictions.

CHECK OUT PROCEDURES: prior to checkout, all dishes should be washed or dishwasher started (whichever your property provides). Beds, which have been used, should be left unmade and sheets and pillowcases gathered in a pile. Leave blankets, comforters, pillow shams on the bed. Towels should be placed in the tub and not left on the floors. Before leaving, set the thermostat to 55 degrees in the cooler months and 72 in the warmer months. Make sure all doors and windows are shut and locked and you have returned the key to the lockbox at the front door or press lock on the keypad and make sure the door is locked before leaving.

DAMAGES: Deposits and Property Damage Fees are set based on the site you are using. When booking directly with Northeast Georgia Vacation Rentals guests will be required to purchase property damage insurance outlined in your quote. Excessive damages will result in additional fees and Criminal Charges being filed.

CANCELLATIONS: All cancellations will incur a $50.00 cancellation/administrative fee. All cancellation policies are outlined on the site that you are using to reserve this property. Please make yourself familiar with them and plan accordingly. When booking directly with Northeast Georgia Vacation Rentals (Property Manager) the cancellation policy is 30 days. Within 30 days or more, you will receive a full refund. Cancel between 7 and 30 days before check-in, you will receive 50% refund. If you cancel 7 days before, check in you will not receive a refund.

MOVING FORWARD AND BOOKING THE PROPERTY: I have read and understand the rules and regulations. I certify that I meet the minimum age required and that I will be held responsible for the care of this property being rented under my name. I accept full responsibility for damages, extra cleaning frees or unexpected per fees should thebe discovered during or after departure if staying at a not pet friendly property. I agree to pay for damaged items not covered by the property damage insurance. By making this reservation you agree to the terms of this agreement. I hereby give my permission to charge my credit card for the rental amount as agreed upon. I agree all rental monies are non-refundable per cancelation policy outlined above and I have read my right to purchase travel insurance. By booking your stay with Northeast Georgia Vacation Rentals or another platform used, you are acknowledging this and accept all that is stated above.
